This policy applies to maypolefarm.org and describes how we handle personal data in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
2. What information we collect
We may collect the following types of information:
Information you give us
- • Contact details such as your name, email address, and phone number when you use our contact form or email us directly
- • Information about a child or young person when you make a referral enquiry
- • Any other information you choose to include in a message to us
Information collected automatically
- • Website usage data (pages visited, time on site, browser type) via Google Analytics — only if you have given consent

We do not collect sensitive personal data (such as health information, ethnicity, or special category data) through this website. Sensitive information relating to children is handled under a separate data protection framework for enrolled pupils and is not collected via this site.
This website is currently a static site with no database. This policy will be updated if a content management system or database is introduced in future.
3. How and why we use your information
| Purpose | Legal basis (UK GDPR) |
|---|---|
| Responding to your enquiry or referral | Legitimate interests |
| Understanding how visitors use our website (Google Analytics) | Consent |
| Monitoring aggregate website traffic (Cloudflare Analytics) | Legitimate interests (no personal data collected) |
| Meeting our legal and safeguarding obligations | Legal obligation |
4. Cookies and analytics
Google Analytics
We use Google Analytics to understand how people use our website — which pages are visited, how long people stay, and where traffic comes from. This service uses cookies. We only activate Google Analytics if you click Accept all on the cookie banner. If you decline, no Google Analytics data is collected.
Google Analytics data is processed by Google LLC. For more information see Google's Privacy Policy.
Cloudflare Web Analytics
We use Cloudflare Web Analytics for aggregate traffic measurement. This service does not use cookies, does not fingerprint users, and does not collect personally identifiable information. It is privacy-preserving by design and does not require your consent.
Essential cookies
We store your cookie consent preference in your browser's local storage so you are not asked again on return visits. This is a functional necessity and does not track you.
You can change or withdraw your cookie consent at any time by clearing your browser's local storage, or by contacting us.
5. Who we share your information with
We do not sell your personal data. We may share it only in the following circumstances:
- • Tuition Extra Group - our parent organisation, where necessary for the management of our provision
- • Statutory agencies - local authorities, children's social care, or other agencies where we have a legal obligation to do so (for example, in connection with safeguarding)
- • Service providers - third-party tools we use to operate this website (Google, Cloudflare), who act as data processors under appropriate agreements
6. How long we keep your information
We keep personal data only for as long as necessary for the purpose it was collected:
- • General enquiries - up to 2 years from last contact
- • Referral enquiries - up to 3 years, or in line with our data retention policy where a placement is made
- • Analytics data - as determined by Google Analytics retention settings (default 14 months)
7. Your rights under UK GDPR
You have the following rights regarding your personal data:
- • Right of access: You can request a copy of the personal data we hold about you.
- • Right to rectification: You can ask us to correct inaccurate or incomplete data.

If you are unhappy with how we have handled your data, you have the right to lodge a complaint with the UK's data protection authority: Information Commissioner's Office (ICO) — ico.org.uk, 0303 123 1113.
8. How we keep your data secure
This website is hosted on Cloudflare Pages and served exclusively over HTTPS. We take appropriate technical and organisational measures to protect personal data against unauthorised access, loss, or disclosure.
Our staff who handle personal data are trained in data protection and bound by confidentiality obligations.
